We provide a complete selection of services, including electro-mechanical design, prototype and volume manufacturing, and engineering services. POSITION SUMMARY: The position is responsible for handling all customer inquiries including, quotations, order processing, customer follow-ups, and all other essential customer support related activities. ESSENTIAL DUTIES AND RESPONSIBILITIES: Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. * Handle email traffic in a professional, accurate, and efficient manner. * Respond to and investigate customer inquiries, concerns, and issues via phone, fax, and email in a timely and professional manner. * Receive, record, and route customer orders/changes in the appropriate manner. * Be proactive and communicate sales order issues to customers prior to promise dates. * Work closely with purchasing and production to support desired ship dates. * Answers customer inquiries and provide appropriate technical/product related information or direct such issues to the appropriate personnel. * Contact customers as necessary to follow-up on orders, quotes, and other various pending issues. * Effectively communicate customer issues and concerns to all applicable internal staff members. * Document all contacts, actions, and responses in the customer data base. * Organize and maintain file systems; files stored as electronic documents and stored on server. Minimal paper filing. * Contributes to team effort by accomplishing related results as needed * Perform other duties as assigned to promote optimum customer satisfaction. QUALIFICATIONS: * Minimum of five (5) years of related experience or similar. * Excellent Customer Service skills. * Excellent Verbal and Communication skills. * Proficient in MS Word, Excel, and Outlook. * Commitment to excellence and high standards. * Strong organizational skills; able to manage priorities and work flow. * Attention to detail. * Ability to work independently. * Ability to effectively communicate with people at all levels and backgrounds, both internally and externally. SCOPE AND IMPACT OF POSITION RESPONSIBILITIES The role of Customer Service Rep is vital to the ongoing success of the company. The position requires coordinating many activities and making certain they are communicated to all the necessary personnel. This position requires managing many tasks concurrently and making certain that they all get resolved in a positive and timely manner. EDUCATION/EXPERIENCE High School diploma or equivalent and 5+ years' experience in a related role or equivalent combination of related education and experience. Advanced knowledge of Microsoft Office including Outlook, Word, Excel, PowerPoint experience a plus. Strong knowledge of Internet and Intranet functionality. Previous inside sales/customer service is preferred. LANGUAGE SKILLS Ability to read, analyze, and interpret project specifications, and catalog data. Ability to write reports, policies and procedures, work instructions and requirements. Ability to effectively present information and respond to questions from managers, employees, vendors, and our principals. Accomplished English speaking and writing. Any additional languages spoken are a plus. REASONING ABILITY Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Ability to follow standard transactional workflows. KEY RELATIONSHIPS: Internal: The position interacts frequently with the Sales Managers, Field Sales Reps, Inside Sales and the Materials Department, Engineers, Accounting, Quality and Warehouse personnel. External: Occasional contact with factory representative of the partners we represent. POSITION TYPE AND EXPECTED HOURS OF WORK This is a full time position. Days and hours of work are Monday through Friday, 8:00am to 5:00pm. Overtime may be required during busy times and must be approved by the Manager prior to working OT.
