Position Summary:
The Recruiting Coordinator operates under supervision and supports one or more recruiters on administrative tasks and projects related to the full life-cycle recruitment process, focusing on enabling the team to effectively meet expectations, and ensuring a positive and efficient experience for prospective candidates, new hires, and internal business partners.Core Responsibilities:


  • Maintain and promote a positive and professional work environment within the company and within Human Resources and promote a high level of integrity and accountability.
  • Deliver a positive candidate experience by working closely with the recruitment team to ensure all interviews are confirmed, accurate and timely.
  • Administers pre-employment activities, including, but not limited to, coordinating forms, applications, offer letters and expense reports, drug testing, background and reference checks.
  • Coordinator day-one onboarding tasks and responsibilities with new hires.
  • Document, track, and maintain applicant records and status of engagements in the applicant tracking system and/or electronic and physical filing system.
  • Format job descriptions and post jobs to external job boards.
  • Coordinates the preparation of with the distribution of new hire informational packets via virtual onboarding system.
  • Maintain confidential information and properly document information for payroll purposes, i.e. new hire, personal information, wage changes, terminations, etc.
  • Administer and train employees on behalf of Human Resources, as needed.
  • Audit new hire files to ensure required records are completed and entered into the appropriate electronic systems.
  • Fields general, straightforward to moderately complex inquiries from candidates and hiring managers; escalates inquiries to senior team members and/or management as necessary.
  • Assists with coordinating logistics for recruiting events, such as job fairs, open houses, and invitation-only events.
  • Participates in special projects and performs other duties as assigned.

    Education & Preferred Experience:

    • High School Diploma Required, Associates Degree Preferred.
    • 1+ years of administrative/HR/customer service/recruiting support/event or project coordination experience preferred.

      Experiences & Skills Learned:

      • Experience utilizing Applicant Tracking Systems (ATS) and/or Human Resources Information Systems (HRIS).
      • Experience supporting a team on full life cycle recruiting.
      • Working knowledge of employment regulations knowledge with the DOL, EEOC, and OFCCP.
      • Working knowledge of various job functions (human resources, quality, sales, marketing, laboratory, information systems, etc.) within an organization and supporting recruiters for full life cycle recruiting and onboarding.
      • Communication Skills: Practice influencing all levels of the organization, exercising a high degree of confidentiality, professionalism, poise, tact and diplomacy to accomplish objectives.
      • Presentation Skills: Practice with clearly present recommendations and ideas and to summarize complex tasks and processes.
      • Time Management Skills: Practice working in a fast-paced, time-sensitive environment with shifting priorities and multiple deadlines.
      • Attention to Detail Skills: Practice with achieving the highest level of thoroughness and accuracy when accomplishing a task.
