We are looking for an eager Payroll Specialist and People and Culture Assistant to join our team in our corporate headquarters located in Aliso Viejo, CA. The Payroll Specialist will be responsible for processing both semimonthly and hourly payroll, as well as assisting the Manager of People and Culture with administrative duties. The ideal candidate will have a broad knowledge of payroll processing as well as general administrative responsibilities. He/she will be able to work autonomously and efficiently. To succeed in this role, you should be familiar using ADP software and have the ability to work in a fast-paced environment.
What You'll Do: Other duties may be assigned.

  • Administer the company payroll, including semimonthly cycles for salaried and hourly employees.
  • Manage PTO/Leave requests
  • Assist with monthly premium billing audits and reconciliations
  • Manage and Maintain People and Culture inbox
  • Act as intermediary between employees and company's outsourced benefits administrator to assist with any questions or issues that may arise
  • Assist in the scheduling of meetings, interviews, and company sponsored events
  • Support the full hiring process of employees: including coordination of recruitment efforts both internally and using outsourced recruiters, sourcing/screening candidates, drafting offer letters, and processing background checks
  • Coordinate onboarding procedures: including creating new employee files, administering employee handbooks and ensuring all necessary paperwork is properly filled out and submitted to the appropriate people
  • Prepare materials and help organize company training
  • Coordinate and assist People and Culture Manager with the annual review process
  • Coordinate and assist with employee termination procedures
  • Present new or additional training materials to employees
  • Foster positive employee relations and work with People and Culture Manager to resolve employee issues that surface or are brought to your attention
  • Ensure employee records are filed correctly electronically and kept confidential
  • Abide by company enforced People and Culture processes and current employment laws and regulations
  • Be a vital source of human resources information answering any questions employees may have
  • Maintain and update personnel-related data (payroll, personal information, leaves, turnover rates etc.) in both ADP and BOX database ensuring all employment requirements are met

    • 3-5 years of payroll processing experience, including running multiple cycles for hourly and salaried employees
    • ADP experience required, Workforce Now preferred
    • Working knowledge of human resources processes and best practices
    • Strong ability in using MS Office, advanced knowledge of Excel and Outlook preferred
    • Ability to handle data with confidentiality
